Choose a specific task
Rather than asking for AI across the business, select one task: classifying requests, finding documents or preparing drafts. Describe the inputs and expected outcomes with real examples.
Check data and permissions
Establish where data comes from, who can access it and what should not be sent to an external service. Where appropriate, remove sensitive information from pilot data.
Define evaluation criteria
Compare processing time, output quality and correction rates with the current process. Use a consistent set of examples to make comparisons meaningful.
Keep human review
AI output can be inaccurate or miss context. For customer-facing content and important decisions, define who checks results, how errors are corrected and when the workflow should stop.
Expand when evidence supports it
Understand limitations, costs and operational responsibilities before scaling. A pilot may lead to a smaller scope or a simpler solution.
